Effective technical writing 

The most important criteria for effective technical writing is clarity. If the audience responds to a memo, letter, self-pace tutorials, or an instructional manual with, “Huh?” what has the writer accomplished? If the correspondence is not clearly understood, the reader will either call the writer for further clarification, or just ignore the information. In either case, the writer’s time is wasted; the reader’s time is wasted and the message is lost. It therefore means that “If an individual reads literature, it is his or her responsibility to understand the writing.” For example

 Marsha Gay supervises thirty six (36) professionals in six (6) city public library. To cut the costs of unnecessary overtime, she issued this one-see memo to her staff:

“When workloads increase to a level requiring hours in excess of an employee’s regular duty assignment, and when such work is estimated to require a full shift of eight (8) hours or more on two (2) or more consecutive days, even though unscheduled days intervene, an employee’s tour of duty shall be altered so as to include the hours when such work must be done, unless an adverse impact would result from such employee’s absence from his previously scheduled assignment.”

After the thirty six (36)  copies were sent out, Joanne’s office received twenty six (26 ) phone calls asking what the memo meant. What the  ten (10 ) people who did not call about the memo thought is uncertain. It took a week to clarify the new policy.

 

Task:

  1. Based on the techniques used in the preparation of technical documentation for publication and distribution, do you think this memo was done according to document requirement Why or why not?

     meets client needs. (5 marks)
